1. What Vaulco is

Vaulco is a mobile-first finance and operations app for Australian sole traders and small businesses. It is operated by John Antony, a sole trader registered in Australia (ABN 67 154 348 185), based in Melbourne, Victoria. Throughout these terms “we” and “us” refer to that entity, and “you” refers to the person or business that creates an account.

By creating an account or paying for a subscription, you agree to these terms.

2. Your account

You're responsible for keeping your password and MFA tokens safe. You must be 18 or older and authorised to act for the business whose data you enter. You agree to give accurate information at sign-up (real email, real business details, valid ABN if used).

One subscription, one business. If you operate multiple businesses, each needs its own subscription unless you're on a plan that explicitly supports multi-entity.

3. Payment, trial, and Founding Member pricing

Every plan starts with a 14-day free trial. Card required upfront. If you don't cancel before day 14, your card is charged the monthly (or annual) fee. Cancel any time through Settings → Manage subscription.

Founding Member pricing. Founding Members (the first 100 paying subscribers in the founding cohort) receive 50% off for the first 3 months and a price-lock guarantee until 1 January 2029. Your Founding price stays fixed for the duration of continuous subscription up to that date, even if standard pricing changes. If you cancel and re-subscribe later, the Founding price does not automatically resume — re-entry depends on availability and is not guaranteed.

After 1 January 2029, we may adjust Founding Member pricing with at least 90 days' written notice to the email on file. You may cancel at any time without penalty. Annual subscribers get the equivalent of two months free; partial-year refunds follow our refund policy.

4. Your data and what we do with it

Your business data is yours. We never sell it, never share it with third parties for advertising, and never train AI models on it.

Application data is stored in Sydney, Australia on Supabase managed Postgres (AES-256 encrypted at rest), behind row-level security. Only you (and the authorised users you grant access to) and our on-call engineer (with audit logs) can access the underlying records. You can export every row you own at any time (CSV exports in-app). You can delete your account at any time via Settings → Data, or by submitting a deletion request; we purge within 30 days, except for records we're required by law to retain (lodged BAS / STP, payment records).

5. ATO lodgement (BAS, STP)

When ATO lodgement features become available — Single Touch Payroll (STP) Phase 2, BAS pre-fill — you instruct us each time you lodge. We act as your authorised software provider for that lodgement. You remain the responsible party for the accuracy of what is lodged.

We are progressing through ATO Digital Service Provider (DSP) registration. Until this is approved and our Operational Security Framework (OSF) attestation is complete, no production STP lodgement will occur from your Vaulco account. Sandbox / test lodgement does not impact your real ATO records.

By using STP features in Vaulco, you authorise us to transmit your payroll data to the ATO via our STP transport partner (currently Single Touch, partner subject to change with notice). You will see, review, and confirm each pay run before lodgement.

6. Professional advice disclaimer

Vaulco is a tool, not an accountant. Tax estimates, BAS figures, depreciation schedules, payroll calculations, and AI responses (Aurum) are helpful starting points — always verify with a registered tax agent, BAS agent, or ATO guidance before lodging. We do not provide tax, legal, or financial advice.

Where Vaulco interprets modern awards or calculates penalty rates, you remain responsible for confirming compliance with the correct award and current rates. We are not liable for award misinterpretation, underpayment, ATO penalties, or late lodgement consequences arising from data you entered or actions you authorised.

7. Acceptable use

Don't upload anyone else's data without permission. Don't try to break the service, abuse the AI assistant beyond your tier allowance, scrape data you don't own, or use the app for anything illegal. We may suspend or terminate accounts that do, with email notice where reasonably possible.

8. Service availability and changes

We aim for high availability but do not guarantee 100% uptime. Scheduled maintenance is announced in-app where possible. We may add features, deprecate less-used ones, or change how things work — for material changes that affect what you pay for, we'll give at least 30 days' notice in-app or by email.

9. Limitation of liability

To the maximum extent allowed by Australian Consumer Law, our total liability for any claim is capped at the amount you paid us in the 12 months immediately before the claim. We do not exclude non-excludable guarantees under the Australian Consumer Law (Schedule 2, Competition and Consumer Act 2010).

We are not liable for indirect or consequential losses (lost profits, lost revenue, lost goodwill) arising from your use of Vaulco, except where law requires.

10. Termination

You can cancel your subscription any time via Settings → Manage subscription. Your data remains accessible until the end of your billing period; after deletion, the 30-day purge window applies.

We may terminate accounts that breach these terms, fail payment for more than 14 days, or pose a security or reputational risk. Where reasonable, we'll email first.

11. Governing law

These terms are governed by the laws of Victoria, Australia. Disputes are resolved in Victorian courts. Australian Consumer Law applies regardless of these terms.

12. Changes to these terms

We may update these terms as the product evolves. Material changes are notified at least 14 days in advance by email. Continuing to use Vaulco after the effective date means you accept the updated terms.
