Every plan (Core $19, Business $29, Team $49, Team+ $69) starts with a 14-day free trial. You need a card to sign up — we don't charge until day 14. Cancel any time during the trial and you won't be billed. Your price then locks in for 3 years (until April 2029) — any change after that comes with 90 days' notice.
Core ($19) — sole traders, core dashboard + unlimited invoices + quotes + BAS estimate. Business ($29) — adds unlimited Aurum AI, PDF invoices with your logo, BAS/GST reports, budget tracking. Team ($49) — adds rostering, timesheets, payroll export, leave, appointment bookings; 5 staff included. Team+ ($69) — 10 staff included, multi-location, industry verticals, API access. All plans locked for 3 years.
The first 50 signups get 50% off for the first 3 months plus a 3-year price lock (until April 2029) and a Founding Member badge on the account. After 50 claimed, the offer closes permanently. If you sign up on annual billing, you get 50% off the first full year instead.
Your data is encrypted in transit (TLS 1.3) and at rest (AES-256, same standard major banks use). Your core financial data lives in Supabase's Sydney region — never leaves Australia. Row-level security means no other Vaulco user can see your data, and our support team can't access individual transactions, invoices, or balances without your explicit permission. We do collect anonymised, aggregated usage metrics to improve the product (see /security). You can export or delete everything in one click, any time.
Yes. Every plan is monthly — cancel any time from Settings → Subscription, and keep full access until the end of the billing period. One-click account deletion if you want to wipe everything and leave entirely.
Vaulco is built for AU sole traders, contractors, freelancers, and teams of any size. Tax estimates use current ATO brackets. BAS/GST calculations follow ATO quarterly periods. Invoices include your ABN automatically. If you're below the $75k GST threshold, the app tells you — it doesn't calculate GST you don't owe.
Yes. Export your transaction history as CSV from any accounting software (MYOB, Xero, QuickBooks, Wave — all support CSV export), drop it into the Import page, and Vaulco auto-categorises every row. For invoices, most apps can also export as CSV. Full switch takes about 10 minutes. A one-click migration tool is on the roadmap.
Vaulco is built around monthly CSV uploads on purpose. Bank-sync apps tell you what already happened — Vaulco predicts your next 90 days from your past 90 and narrates the variance after each upload (hits, misses, surprises). Three days a quarter beats live feeds you never read. CSV import works with every AU bank (ANZ, CBA, NAB, Westpac, Macquarie, ING, Bendigo, Up + more) and auto-categorises in seconds. Direct CDR auto-sync may land later if provider pricing aligns; Founding Members would get it free when/if it does.
Four ways. (1) Snap a photo of any receipt via the Daily Log — AI extracts vendor, amount, GST, date. (2) Type a quick note like 'Spent $85 fuel' — AI parses it into a transaction. (3) Voice notes while driving. (4) Forward supplier emails to your Vaulco inbox address (rolling out). All methods land in your review queue — approve with one tap, ledger updated.
Yes. Create a quote with line items, email it to the client with a PDF attached plus a public link. The client clicks Accept online — Vaulco automatically creates a matching draft invoice for you to send. No more chasing signatures, no more double-entry.
Yes — on Team and Team+ plans. Mobile-first rostering, timesheets with clock in/out, leave management, and shift swap requests are live today. Pay-rate handling at launch is flat hourly per staff member (you set the rate); award-aware penalty rates for the top 5 AU awards (Hospo, Fast Food, Retail, Building, Clerks) are a Year 2 expansion. ABA payroll export and STP Phase 2 lodgement are in active development with our payroll partner — the timing aligns with the ATO's Payday Super rollout. Founding Team-tier members get all of it included when it ships.
Yes — your public booking page is live at vaulco.com.au/book/your-business. Customers self-serve appointments, see your availability, and the booking lands in your calendar with confirmation emails fired automatically. Pair it with the in-app calendar to manage staff, status, and customer records. Included on Team and Team+ plans.
Vaulco is a progressive web app (PWA). Open the site on your phone, tap 'Add to Home Screen' — it runs full-screen, works offline for viewing, feels native. Optimised for one-handed use with a bottom navigation bar and a fast-capture button. Native iOS/Android apps are on the roadmap but the PWA already does ~95% of what you need on the go.
Vaulco is built by John Antony, a Melbourne-based founder. ABN 67 154 348 185. Built in-house in Melbourne — every line of code, every support reply. Your core financial data is hosted in Australia (AWS Sydney). A small number of narrow-purpose vendors (email delivery, SMS, AI inference) operate elsewhere — you can see the full list at vaulco.com.au/security/subprocessors.
